Planning an event can be exciting, but it’s bound to be stressful too. This is especially true if you, like many other hosts, have to be cognizant of your budget. With so many components to keep track of, it’s easy to lose track of just how much you’re spending — or realize you could have saved in retrospect. But just because you need to stick to your budget doesn’t mean you have to sacrifice on the quality of your party rentals. Get creative with your rental chairs
Whether you’re planning a wedding, an anniversary celebration, or a corporate event, you want your guests to be comfortable and the atmosphere to be warm and welcoming. Chair rentals are an important part of party planning for events both large and small, as your party guests will undoubtedly require seating. White plastic stacking rental chairs might not fit in with your preferred aesthetic, but they are usually a more inexpensive option than wood rental chairs. In many cases, you can mix both options to cut down on costs. Simply use wooden rental chairs for the guests (or just for those at the head table), and use plastic folding chairs for the entertainment or for during the ceremony. If you can, re-use at least some of the chairs from the ceremony for the reception to further cut down on costs.
Rent the right size tent
If you’ll be reserving a tent rental for your event, make sure that it’s the correct size for your needs. It should be neither too big or too small. An overly large tent will simply be a waste of money and will make it seem like the event is poorly attended. But a too-small tent will lead to overcrowding and early exits from your guests. Your rental company will be your best bet for picking the correct size here. Keep in mind that you will need room for a dance floor, buffet, DJ or band, and tables, so resist the urge to go for something tiny. But you don’t have to choose the most extravagant option, either.
Protect your linens
You can save money by using shorter-length linens on tables and forgoing chair covers. At the very least, you should do what you can to protect the linens you do rent from damage. Replacement costs can be steep, and if you aren’t careful, you could be hit with an unexpected fine. If you’ll be lighting candles, put some sort of material between the candles and the linens so that they aren’t damaged by wax or soot. Should the flower arrangements contain dyed flowers or other materials, be aware that these dyes can create permanent stains. Your crew should always shake out linens before putting them in laundry bags or bins. While accidents do happen, you can prevent them by thinking ahead. Be sure to ask your rental company about their rules pertaining to replacement fees beforehand.
